Year 2 Overview

In Year 2 (March 2023-February 2024) the repositories participating in GREI will continue to build off the momentum and accomplishments of year 1 to make progress toward the GREI objectives to enhance functionality and support for NIH data sharing and discovery in generalist repositories.

For each objective, we have collaboratively determined the highest priority tasks to address in Year 2 and for each of those we have jointly defined the task and deliverables.

The co-opetition work will again be performed largely through the efforts of four subcommittees:

  1. Use Cases
  2. Metadata and Search
  3. Open Metrics
  4. Community Engagement

Year 2 Goals & Updates/Outputs

Metadata Y2

In Year 2 we will deliver a recommendation of the metadata schema (including controlled vocabularies) that repositories should implement to support the GREI use cases and metrics; in addition each repository will deliver a plan to implement the metadata schema.

  • 2.2 Gather feedback on proposal: Use cases and metrics subcommittee to provide feedback on what’s missing/ should be changed
  • 2.3 Review proposal vs DataCite schema: For each metadata field in the metadata schema, review whether the DataCite metadata field format/controlled vocabulary is suitable; if not, work with DataCite to evolve the schema; if controlled vocabularies have limitations, identify solutions
  • 2.4 Ensuring metadata is captured with sufficient quality: Identify recommendations for repositories to ensure metadata is captured (e.g. metadata type) with sufficient quality
  • 2.5 Final metadata schema: Publish final metadata schema publicly
  • 2.6 Repository implementation plans: Each repository will plan, potentially in collaboration or discussion with other repositories or the subcommittee, on how to close the gaps

Search and Browse Capabilities Y2

Further discussion about cross-repository search capabilities will continue in Year 2. Search and Browse capabilities have been merged with metadata activities and are also dependent on use case development in year 2.

Update: The GREI repositories agreed to move work on deliverables 3.1 Define the federated search use case and 3.2 Define the metadata required to support the federated search use case to Y3 at the Y2 in-person meeting in September 2023. See related Y3 issues:

Open Metrics Y2

The group is expected to implement the DataCite usage tracker widget to seamlessly track metrics. Future goals of the working group began preliminary discovery discussions.

  • 4.1 Roadmap for the technical priorities - Develop a multi-year roadmap in line with the priorities defined such as implementation of usage tracker, relational metadata submitted to DataCite, Priority metadata, and reverse engineering legacy usages statistics.
  • 4.2 Priority metadata - Define the metadata properties needed to address the metrics use cases and coordinate with use cases sub-committee. In addition, the sub-committee will explore whether aggregators can donate seed file metadata regarding subject classification metadata.
  • 4.3 Definitions - Establish clear definitions for metrics, leveraging existing standards and community initiatives. The intention is to standardize the definition of metrics across the generalist repositories.
  • 4.4 Baseline metrics - Develop a roadmap for baseline metrics, defining what metrics we current have available, the limitations and the timelines to begin using data metrics in research evaluation (see https://makedatacount.org/data-metrics-2/)

Use Cases Y2

Progress will continue in Year 2 in building out use cases and cross-repository use cases based upon feedback of participants from the webinars, workshop, and other feedback channels provided by the GREI repositories. It may be that based upon feedback of end users, a decision tree that shows when to use the GREI repositories based upon those supported use cases may be helpful to those end users.

  • 5.1 Use Cases Catalog (UCC) - In year 1, the seven GR developed examples and step-by-step workflows for each of the four use cases (for a total of 28 entries in the UCC, representing a range of roles and perspectives across the seven GRs). These entries will be enhanced, finalized and formatted early in Year 2, which will guide the development of additional use cases identified in Year 2 in order to enhance and evolve the UCC.
  • 5.2 Flowchart - Develop static 1-page flowchart to guide users about points to consider when selecting a repository for data sharing (e.g., when might a GR be right for you?)
  • 5.3 Routes for input and feedback - Develop ongoing opportunities and mechanisms to engage and gather feedback from the community (e.g. through the Community Engagement subcommittee work) about current and potential future key use cases.

Community Engagement Y2

  • 8.1 Community engagement marketing and task plan - Assess audiences, objectives, impact, partner organizations, and resourcing requirements to develop a community engagement and feedback gathering framework outlining community engagement planned activities as well as goals for years 2 through 4. This plan will be informed by use cases and community feedback gathered by the Use Cases subcommittee and include targets for reach and engagement.
  • 8.2 Community engagement activities targeting specific audiences - Collaborative community engagement activities may include training, outreach, and feedback gathering activities including webinars, workshops, conference participation, community partnerships, and resource and guide development. Targeted audiences may include: Academic institution librarians and research support staff, scientific research communities and societies, under resourced institutions with NIH funding, and NIH internal communities including intramural researchers, institutes, and program officers.
  • 8.3 Resources to support use of generalist repositories for the NIH DMSP - Develop resources for inclusion of generalist repositories in NIH Data Management and Sharing Plans such as DMPTool participation, DMSP templates, and example use cases, working in coordination with appropriate NIH offices and partner organizations.
